A good invoice does three things: it looks professional, tells the customer exactly what they're paying for, and makes it easy to pay. Most tradespeople get the first one wrong because they're using a scribbled note, a plain text message, or a Word document from 2015.
Here are free templates you can use today, plus a faster way to handle invoicing altogether.
What Every Trade Invoice Must Include
Before looking at templates, make sure every invoice you send contains:
- Your business name and contact details
- Customer's name and address
- Invoice number (sequential — INV-001, INV-002, etc.)
- Date issued and payment due date
- Itemised list of work with quantities and prices
- VAT/tax (if applicable)
- Total amount due
- Payment instructions (bank details, payment link, or both)
- Your terms (e.g., "Payment due within 7 days")
UK-Specific Requirements
If you're VAT-registered, your invoice must also include:
- Your VAT registration number
- VAT amount per item or as a total
- Your registered business address
Even if you're not VAT-registered, include a note: "Not VAT registered" to avoid confusion.
US-Specific Requirements
- Include your EIN or business registration number
- State and local tax requirements vary — check your state's rules
- If you're an LLC or Corporation, include the full legal entity name

Common Invoice Mistakes
1. No Invoice Number
Without sequential numbering, you can't track what's been paid and what hasn't. Your accountant will also need these for tax returns.
2. Vague Descriptions
"Plumbing work: £350" tells the customer nothing. Break it down: "Replace faulty ball valve in loft tank, including parts and 1.5 hours labour: £350."
3. No Payment Due Date
"Please pay when convenient" means never. Set a specific date: "Payment due by 17 February 2026."
4. Bank Transfer Only
If the only way to pay is a manual bank transfer, you're adding friction. Customers who can click a link and pay by card will pay faster. The 2-3% processing fee pays for itself in reduced chasing.
5. Sending Invoices Late
The longer you wait to invoice, the longer you wait to get paid. Invoice on the same day you complete the work. If you wait a week, the customer has moved on mentally and your invoice feels less urgent.
A Faster Way: Ditch Templates Entirely
Templates work, but they still require you to:
- Open the template
- Fill in customer details
- Add line items manually
- Calculate totals
- Save as PDF
- Email it to the customer
- Track whether they've paid
That's 10-15 minutes per invoice. Multiply that by 15-20 jobs a month and you're spending hours on paperwork.
What Modern Invoicing Looks Like
With Cadobook's invoicing, you:
- Convert a quote to an invoice in one tap (if you quoted the job first)
- Or create an invoice from scratch — describe the work and AI suggests line items
- Send it instantly — the customer gets a link to view and pay online
- Get paid by card — no chasing bank transfer details
- Track everything — see which invoices are paid, pending, or overdue at a glance
The customer receives a professional, branded invoice with a "Pay Now" button. No PDF attachments, no bank details to copy, no excuses.
Automatic Payment Reminders
Set up automated reminders so you never have to manually chase a late payment again:
- Friendly reminder 2 days before the due date
- Nudge on the day it's due
- Follow-up at 3, 7, and 14 days overdue
- Escalation notice at 30 days
Every invoice follows the same professional chase sequence without you thinking about it.
The Numbers
Tradespeople who switch from manual invoicing to dedicated software typically report:
- 70% faster invoicing (minutes instead of 15-20 minutes per invoice)
- 10 days faster payment on average
- 50% fewer overdue invoices with automated reminders
- 3-4 hours saved per week on admin
